Ask how access openings will be created and sealed. Proper source-removal cleaning usually involves placing the duct system under negative pressure with a truck-mounted vacuum or portable HEPA collection unit, then agitating debris toward the collector with air whips, brushes, or skipper balls chosen for the duct material. The quote should also say whether registers and grilles are removed and cleaned, whether each return is addressed, and whether before-and-after photos are included. If the contractor cannot explain the airflow path through the cleaning process, the price may be low because the scope is thin.
Common exclusions matter because they change the total later. Evaporator coil cleaning, drain pan cleaning, dryer vent cleaning, antimicrobial fogging, odor treatment, crawlspace duct repairs, insulation replacement, and mold remediation are often separate charges. That is why dirtier systems often move from a standard whole-system cleaning into a higher estimate band even without any remediation. Access sounds minor until the crew starts working. When paying more now is the cheaper decision over the next several years
Paying more can make sense when the higher quote includes the parts that actually collect and redistribute debris. If one estimate covers only supply registers and branch runs, while another includes returns, trunk lines, plenums, and the blower compartment, the second may leave the system cleaner for longer because the air path is being addressed more completely. Over a 5- to 10-year period, that can be cheaper than repeating a partial cleaning that never touched the dirtiest sections. The key is not the highest number; it is the clearer and more complete scope.
A better decision can also be to spend money on replacement instead of aggressive cleaning when the duct material is wrong for the job. Wet, deteriorated, or moldy fiberglass-lined duct and damaged flex duct are not candidates for the same cleaning methods used on sound sheet metal. Paying for repeated attempts to “sanitize” failing ductwork can waste money if sections really need to be removed and replaced.
